Lemon Lab (Pty) Ltd t/a Vicinity, owner of the Vitrex™ brand ("Vitrex", "we", "us" or "our") respects your privacy. This policy explains how we collect, use, share and protect personal information when you use www.vitrex.co.za or contact us, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

2. Information we collect
We collect only the information we need to respond to you and serve your project.
Contact details: your name, email address and telephone number, collected through our contact, enquiry and specification request forms, by email or by phone.
Professional details: your company or practice name, job title and industry, collected through forms and correspondence.
Project information: project name, location, product interest, quantities, drawings and specifications, collected through specification requests and quotations.
Technical data: your IP address, browser type, device, pages visited and time on site, collected through cookies and analytics tools.
We do not knowingly collect special personal information (such as health, religious or biometric data) or information about children through the Website.

3. How we use your information
We use personal information to:

• Respond to enquiries, specification requests and technical support questions.

• Prepare quotations, process orders, and arrange delivery and installation.

• Provide product information, samples, brochures and technical data sheets you request.

• Manage warranty registrations and claims.

• Send product updates and news, where you have agreed to receive them.

• Understand how the Website is used so we can improve it.

• Meet our legal, tax and regulatory obligations.

We process your information on the basis of your consent, to take steps towards or perform a contract with you, to comply with the law, or for our legitimate business interests, as permitted by section 11 of POPIA.

4. Direct marketing
We send marketing communications only to existing customers about similar products, or to people who have opted in. Every marketing message includes a simple way to unsubscribe, and you can opt out at any time by emailing info@vitrex.co.za.

5. Sharing your information
We do not sell your personal information. We share it only where needed, with:

• Group companies, authorised distributors and installers involved in supplying your project.

• Service providers that support our business, such as website hosting, email, analytics and IT providers.

• Professional advisers, such as auditors and attorneys.

• Authorities, where the law requires it.

Everyone we share information with must keep it confidential and secure, and use it only for the purpose we shared it for.

6. Cross-border transfers
Our website platform and some service providers may store information on servers outside South Africa. We transfer personal information across borders only where the recipient is subject to laws, binding rules or agreements that provide protection comparable to POPIA, as required by section 72.

7. Cookies
The Website uses cookies and similar technologies to make the site work, remember your preferences and measure how visitors use it. You can block or delete cookies in your browser settings, though some parts of the Website may not work properly if you do.

8. How we protect your information
We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration and destruction. These include secure (HTTPS) connections, access controls and limiting access to staff who need it. No online transmission is completely secure, so we cannot guarantee absolute security.
If we believe your personal information has been accessed without authorisation, we will notify you and the Information Regulator as POPIA requires.

9. How long we keep it
We keep personal information only as long as needed for the purpose it was collected, for the duration of any warranty that applies, or as required by law (for example, tax records). After that, we delete, destroy or anonymise it.

10. Your rights
Under POPIA, you have the right to:

• Ask whether we hold personal information about you, and request access to it.

• Ask us to correct, update or delete inaccurate, outdated or unlawfully obtained information.

• Object to the processing of your information, including for direct marketing.

• Withdraw consent at any time, where we rely on consent.

• Lodge a complaint with the Information Regulator.

To exercise these rights, email info@vitrex.co.za. We may need to verify your identity before we respond. Access requests are also handled in line with our PAIA Manual, available on request.
